We are seeking a professional, energetic and resourceful individual to join our organization as an Administrative Assistant. Successful candidates must be extremely detail oriented, observant and willing to ask critical questions while providing support to the senior executives in their daily activities, decision making and planning responsibilities for the company. This individual must be a problem solver, able to exercise discretion while handling confidential information and make adjustments to schedules/plans as necessary in order to enhance the effectiveness of the senior executives in handling day-to-day activities of the company.


This position is part of our Administration division, which supports multiple operating divisions that serve a nationwide customer base in industries ranging from residential communities to the financial industry to the medical field.


The Administrative Assistant is primarily responsible for providing support to senior executives. Other key responsibilities include:

  • Prioritizing multiple tasks and responsibilities, meeting deadlines and communicating clearly and effectively
  • Identifying issues and asking questions
  • Ability to protect information and maintain a high level of confidentiality based on the exposure to sensitive information
    • Promoting our company reputation and values through personal appearance, resourcefulness and integrity
    • Understanding and upholding the policies, professional standards, and values of our company and the industries it serves
    • Competitive analysis
    • Redlining of contracts and routing of contracts for execution, and maintaining the file system for contracts
    • Web research
    • Calendar management
    • Making travel arrangements
    • Communicating with high-level professionals
    • Preparing meeting materials, including spreadsheets, presentations and reports
    • Reconciling expense reports and other documents relevant to business operations
    • Screening and monitoring incoming calls and correspondence and ensuring timely resolution of all phone, mail and email inquiries
    • Identifying all action items and ensuring all priorities are addressed
    • Managing timelines and project organization
    • Other projects as assigned


Candidates must have at least two years’ relevant work experience


A bachelor’s degree from an accredited four-year college or university, with a high GPA, is required.
